Handyman Estimating Software: Pick the Tool That Fits How You Price

Handyman estimating software turns a list of repairs into a priced quote you can send from the driveway. The options split four ways. Clear Estimates starts you from handyman templates with local prices. Joist and InvoiceOwl are estimate and invoice apps where you bring your own prices. Housecall Pro and Jobber quote inside a field service platform with scheduling. AI estimate tools draft the quote from photos and a walkthrough. Below: published prices from each company's own site, a buyer checklist, the math for your hourly rate, and a worked punch list bid.

The 4 Types of Handyman Estimating Software

Sort the options by where the prices come from and what the tool does after the customer says yes. Product details and prices below are from each company's own website as of October 2026.

Template and price-database estimating. Clear Estimates' handyman page lists templates for drywall repair, fixture installation, interior painting, door and window work, caulking and sealing, carpentry repairs and more, with local material and labor pricing by zip code and an optional AI Scope Assistant for one-off jobs. Its pricing page lists Standard at $79 a month ($59 billed annually) with unlimited AI estimates, e-signature and payable invoices, and Pro at $119 ($99 annually), which adds image and plan uploads and extra users at $9 a month. Both come with a 30-day free trial.

Estimate and invoice apps. Joist lists Basics at $12 a month for up to 5 documents a month, Pro at $17 with unlimited documents, Elite at $32 with change orders and reports, and Run at $100, which adds jobs and scheduled visits, with lower prices on annual billing. Its free plan is no longer available; there is a 14-day trial with no credit card. InvoiceOwl lists Base at $4 a month, Premium at $29 and Premium Plus at $99, all billed annually, with unlimited invoices and quotes on every plan and automatic follow-up sequences starting on Premium.

Field service platforms. Housecall Pro's handyman page says its estimates pull in flat-rate pricing, labor and material costs (its Price Book feature), and quotes go out by text or email and convert to scheduled jobs. Basic is $59 a month billed annually ($79 billed monthly) for 1 user, with the price book, scheduling and online booking included. Flat-rate pricing starts on Essentials ($149 a month billed annually, 5 users), and automated follow-ups are the Pipeline add-on. Jobber's Core plan includes quotes and online payments for 1 user at $29 a month billed annually ($49 month to month), with a first-year rate of $21. Optional line items, which let a customer add extras to the quote, start on Grow. Both offer a 14-day free trial with no credit card.

The money follows the work. A handyman company with four vans and a booking line needs scheduling more than it needs a better estimate. A one-truck operator quoting repair lists needs quotes that are priced right and get followed up.

6 Questions to Ask Before You Pay for a Handyman Estimate App

Run every option through these during the free trial, using a real job you just quoted. The first question decides the type; the rest decide the plan.

  1. 1. Do you price flat rate, by the hour, or both?

If most of your work is the same 15 jobs at set prices, a price book with flat rates (Housecall Pro Essentials) or task templates (Clear Estimates) gets the quote out fastest. If you quote mixed punch lists where every house is different, you need a tool that handles hours, materials and odd one-off lines without a fight.

  2. 2. Can the quote carry a minimum charge, a trip fee and a return visit?

A handyman quote that only lists tasks leaves out the drive, the setup and the second trip for drywall that has to dry. Make sure you can add those as their own lines, or bake them into your rate on purpose.

  3. 3. Do you need scheduling and booking, or just better quotes?

Housecall Pro includes scheduling and online booking on its Basic plan. Joist adds scheduling on its $100 Run plan. If one person does the quoting and the work, a calendar app may be all the scheduling you need.

  4. 4. What happens after you send the quote?

Jobber starts automatic quote follow-ups on Connect ($99 a month billed annually after the first-year intro price, $139 month to month). InvoiceOwl puts automatic follow-up sequences on Premium. Housecall Pro sells automated follow-ups as its Pipeline add-on and does not list a price for it. Check the plan you would actually buy.

  5. 5. Phone app or browser?

Joist and InvoiceOwl list mobile apps. Clear Estimates says there is no separate app to install and it runs in the browser on a phone, tablet or computer. Try the trial on your own phone in a customer's kitchen before you pay.

  6. 6. What does it really cost?

Add the monthly price, extra users and the limits. Joist Basics caps you at 5 documents a month, InvoiceOwl charges $9 a month per extra seat, and Jobber's intro prices step up: Core is $21 a month for the first year billed annually, then $29, or $35 for 3 months and then $49 month to month.

Set Your Hourly Rate Before Any Software Prices a Job

No app knows what your truck, insurance and slow weeks cost. Jobber's handyman pricing guide starts from monthly expenses: $5,000 a month over 160 hours is $31.25 an hour, and setting aside 25% for taxes brings it to about $39 an hour just to break even. That example assumes every hour of the month is billable. They aren't.

  • Billable hours: driving, supply runs, walkthroughs and writing quotes all eat the week. Say 100 of your 160 hours end up on a customer's bill (an example; track your own for a month).
  • Cost per billable hour: $5,000 ÷ 100 = $50. If taxes take 25% of what you bring in, divide by 0.75: $50 ÷ 0.75 = $66.67. Adding 25% on top, as Jobber's example does, comes up short: $50 plus 25% is $62.50, and after 25% tax that leaves $46.88.
  • Rate for a 15% profit margin: $66.67 ÷ 0.85 = $78.43, rounded to $80 an hour.
  • Check it against the market: Housecall Pro's October 2026 guide puts self-employed handymen at $50 to $80 an hour and corporate or franchise handymen at $75 to $125. If your break-even is above what your market pays, the fix is more billable hours or less overhead, not a lower rate.
  • Minimum charge: two hours at $80 = $160, inside the $125 to $200 minimum service fee Housecall Pro's guide describes.
  • Materials: bill parts that cost real money separately, with a markup. Housecall Pro's guide suggests 10% to 30% and says to build screws and anchors into your rate.

The contractor hourly rate calculator runs this with your own numbers, and the burdened labor rate calculator does it for a helper's wage.

Worked Example: A Punch List Bid at $80 an Hour

A homeowner sends a list after a leak was fixed: a stained ceiling, a door that rubs, a moldy tub caulk line, loose balusters and a swollen run of baseboard. Every line is hours at $80 plus materials at cost with a 25% markup. Time your own crew on tasks like these; your hours drive the whole number.

Line item Hours Materials (example cost) Price
Ceiling water stain, about 2 ft x 2 ft: cut out, patch, tape, mud and texture (visit 1); sand, stain-blocking primer and paint (visit 2) 3 $40 $290
Rehang sagging interior door: longer hinge screws, adjust the strike 1 $5 $86.25
Tub surround: remove old caulk, clean, re-caulk about 18 lf 1.5 $20 $145
Re-secure 2 loose stair balusters 0.5 $5 $46.25
Replace 10 lf of damaged baseboard, caulk and paint 1.5 $30 $157.50
Drive, setup and cleanup, 2 visits 1 $0 $80
Total 8.5 $100 $805

How the total adds up. 8.5 hours x $80 = $680 in labor. $100 in materials x 1.25 = $125. $680 + $125 = $805. The ceiling line alone is $290, which sits inside the $200 to $800 range Housecall Pro's guide lists for drywall repair.

The second trip is a line, not a favor. Mud has to dry before you sand and paint, so the ceiling takes two visits. Price the drive and setup for both, or the patch quietly eats an hour of your day.

Markup is not margin. The 25% markup on $100 of materials is $25, which is 20% of the $125 you charge. To keep 25% of the price you would divide by 0.75 instead. The profit margin calculator does this for any job.

Check the license line before you send it. In California, an unlicensed handyperson's whole project has to come in under $1,000, including labor and materials, with no employees and no permit work. This $805 list fits under it, but a few more lines would not, and any line that needs a permit takes the job out of the exemption. Other states set their own limits.

Price what you find, not just what you were told. I've remodeled in the Pacific Northwest long enough to know a tub caulk line after a leak is a place to look closer. If the drywall behind it is soft, that is a new line on a change order, not something you absorb. Say so in the quote before you start.

Prices vary by region. These rates and ranges are national figures from published 2026 pricing guides. Use your own costs, your own hours and what local handymen charge before you send a number.

Where Handyman Quotes Lose Money

Quoting the wrench time only

The task takes 30 minutes. The drive, the parking, the drop cloths and the cleanup take another 40. A minimum charge or a drive-and-setup line is how that time gets paid.

Flat rates nobody checked against the clock

A flat rate is an hourly rate in disguise. If a $120 faucet job keeps taking you two and a half hours with the drive, it is a $48-an-hour job. Time your top 10 to 15 flat-rate jobs once a year and reset the prices.

Giving parts away

The hour at the store, the return trip for the wrong part and the warranty when it fails are all yours. Mark up the parts that cost real money and put them on their own line.

Sending the quote and never following up

A lot of jobs are won on the second or third follow-up, not the first estimate. Most contractors send a bid and never chase it, so the one who follows up stands out. I forget too when I'm busy on a job site, which is why I let software do it. Our guide to following up on a quote has texts and emails you can copy.

Where EstimationPro Fits (and Where It Doesn't)

I built EstimationPro because my own remodeling estimates took hours. It is an estimate, proposal and follow-up tool, and it fits the repair lists you quote after walking the house. Pick Repairs when you start an estimate, then describe the job with photos, a voice walkthrough, typed notes or a photo of your handwritten list, plus any measurements. AI drafts priced line items for labor and materials with rates adjusted for your region. You review and edit every line. Set your markup once in Settings and it is applied to new estimates, with the matching margin shown next to it.

Estimates sent from EstimationPro get automatic follow-up: at 24 hours if unopened, 48 hours after opening with no response, and a final one at 7 days. Pro adds e-signatures, invoices and deposit collection.

What it does not do:

  • Dispatch techs or route crews (it is not a field service platform)
  • Order materials
  • Run as an App Store or Google Play app (it works in your phone's browser)

Watch the estimate limits. Starter includes 10 estimates a month and Pro 25. If you send 40 small flat-rate quotes a month, a price book in a field service platform or an estimate and invoice app from the table above fits that volume better.

Pricing: 7-day free trial, $0 today, card required. Then Starter at $79 a month (10 estimates) or Pro at $149 a month (25 estimates). No contract. 30-day guarantee: saves you time and beats your spreadsheet, or your money back.

Frequently Asked Questions

What is the cheapest handyman estimate app?

Of the apps on this page, InvoiceOwl's Base plan is the lowest published price: $4 a month billed annually for one seat with unlimited invoices and quotes. Joist lists Basics at $12 a month, capped at 5 documents a month, and its free plan is no longer available. Cheap plans usually leave out automatic follow-up: InvoiceOwl puts its automatic follow-up sequences on Premium ($29 a month billed annually) and Jobber starts quote follow-ups on Connect.

Should a handyman charge flat rate or by the hour?

Housecall Pro's October 2026 pricing guide suggests flat rates for repeat jobs with a clear scope (TV mounting, faucet replacement) and hourly for troubleshooting, older homes, open-ended punch lists and custom work. Its suggested mix is flat rates for your top 10 to 15 jobs and hourly for everything else until you have enough job history to set a flat price. Either way, build the flat rate from your hourly cost so the slow jobs still pay.

What minimum charge should a handyman use?

Housecall Pro's guide puts the minimum service fee at $125 to $200 and gives the example of a two-hour minimum, which is $150 at $75 an hour. At the $80 rate worked out on this page, a two-hour minimum is $160. The minimum covers the drive, setup and paperwork that a 20-minute job still costs you.

Do I need a license to do handyman work?

It depends on your state and the job. In California, an unlicensed person can only take projects under $1,000 in total (labor, materials and everything else), with no employees and no work that needs a building permit, according to the Contractors State License Board. Other states set different limits, and electrical and plumbing work often needs a trade license. Check your state's licensing board before you quote.

Does EstimationPro have an iPhone or Android app?

No. There is no App Store or Google Play app. EstimationPro is a web app that runs in the browser on your phone, tablet or computer, so you can take photos and record the walkthrough from your phone at the house.
